Evaluate HR technology on hard cases and running costs, with every affected function in one evaluation.
Good procurement includes the hard cases and the cost of running the service.
The demo works well. The real questions start when the request is ambiguous, the policy is local or the model changes after go-live. That’s the product the organization will actually manage.
Bring HR, IT, security, privacy and procurement into one evaluation. You need shared answers on data handling, access, failure modes, support and exit. A generic assurance isn’t enough when the consequences cut across functions. The UK ICO’s audits of recruitment tools found excessive data collection and unclear candidate information, a reminder that a strong demo isn’t due diligence.
Where I’d start: give the vendor synthetic cases that cover your languages, exceptions and incomplete requests. Agree acceptance criteria and change-notification terms before signing. Make ownership of ongoing checks explicit.
The test: a benchmark or compliance claim doesn’t validate your specific use. Purpose, configuration, jurisdiction and daily operation still need assessment.
