Ask the team while the decision is still open
Involve the people doing the work before AI and workflow decisions are locked, and close the loop afterward.
People can improve a workflow before they’re asked to adopt it.
A process diagram rarely shows the workarounds that keep a service running. The people doing the job know where the formal process ends and judgment begins.
That knowledge matters most before procurement and design are locked. Ask for feedback afterward and people feel invited to endorse a done deal. Be clear about what they can influence, what’s fixed and how their input reaches the decision-makers. OECD surveys in finance and manufacturing across seven countries found training and worker consultation associated with better reported AI outcomes. That’s an association, not proof of cause.
Where I’d start: bring frontline users, managers and relevant employee representatives into the design. Show realistic failures, not just the intended process. Afterward, explain what changed, what didn’t and why.
The test: enthusiastic volunteers aren’t the whole workforce. Include different shifts, levels of digital confidence and ways of reaching the service.
